About This Position

Our client is the Australian subsidiary of a well-established Japanese global company. The local office is still in an early stage of growth, with a small team and close communication with the company’s head office in Japan.

This is a hands-on accounts and administration role where your accounting and bookkeeping experience will be the foundation of your work. You will support daily accounting records, invoicing, payments, receivables, reporting preparation, and financial administration, while also assisting with customer communication, order-related administration, document control, and general office support.

This is not a narrow accounts role, and it is not a simple administration assistant role either. It is a position for someone who can use their accounting knowledge to support the business more broadly, while helping a small local office build stronger processes as it continues to grow.

You will work closely with local management and communicate regularly with the head office in Japan. For the right person, this role offers a genuine opportunity to become a trusted all-rounder within the business over time.

What does your next role look like?

In this role, you will support the daily finance, administration, and operational needs of the local office.

Your responsibilities will include:

    • Maintaining daily accounting and bookkeeping records
    • Supporting AP, AR, invoicing, payment processing, incoming fund checks, and receivables follow-up
    • Preparing accounting data, finance records, and reports for review
    • Assisting with financial statements, performance reporting, cash flow monitoring, and internal reports
    • Communicating with the head office in Japan regarding finance, orders, documents, and operational matters
    • Supporting the order cycle, including customer purchase orders, pricing checks, delivery schedules, and related documentation
    • Preparing and managing commercial documents, including invoices, purchase orders, packing lists, labels, and other related documents
    • Coordinating with internal teams and external service providers regarding shipment and delivery matters
    • Maintaining organised filing and document control for accounting, operational, and office records
    • Providing regular written and verbal updates to management
    • Supporting general office administration and ad-hoc tasks as part of a small team
    • Assisting with local inventory and related logistics administration in the future, as the business grows

The accounting side of the role is the key foundation. Other areas such as order administration, customer communication, and import-related documentation can be learned over time, provided you have strong attention to detail, a practical mindset, and the willingness to support the business beyond a narrow job description.

A little about you

To succeed in this role, you will bring:

    • Minimum 5 years’ experience in accounting, bookkeeping, accounts administration, or a similar finance support role
    • Practical experience with AP, AR, invoicing, payments, receivables, reconciliations, financial records, and Excel-based reporting
    • Strong attention to detail and the ability to work accurately with numbers, documents, and deadlines
    • Japanese and English bilingual communication skills
    • Japanese language skills sufficient to communicate with head office in Japan
    • English language skills sufficient to communicate with customers, local stakeholders, and external service providers
    • Good Microsoft Office skills, especially Excel, Word, and Outlook
    • Strong organisational skills and the ability to manage several tasks at the same time
    • A flexible and hands-on working style suited to a small office environment
    • A positive attitude toward learning, improving processes, and supporting a growing business
    • Australian citizenship or permanent residency with unrestricted full working rights
    • The ability to commute by car to Melbourne’s northern suburbs

Experience with import/export documentation, shipment coordination, logistics providers, or international trade administration will be highly regarded, but it is not essential if you have the right accounting foundation and willingness to learn.

Location

Melbourne Northern Suburbs – Onsite parking is available. Public transport may be possible, but this role will best suit someone who can commute by car.

Working Hour

Full-time, 38 hours per week | Monday to Friday

Salary range

$70,000 – $85,000 + Superannuation (Depending on experience)

Working flexibility

This role will be primarily office-based during the initial training and onboarding period.

Hybrid flexibility may be considered once the successful candidate is fully settled in the role, depending on business needs and performance.

Start From

June – July 2026 | Some flexibility may be considered for the right candidate.
