About This Position

A well-established international business is seeking a polished and capable Japanese-speaking administration professional to support its Melbourne office on a part-time basis. This is a great opportunity for someone who enjoys creating a well-run, professional office environment while supporting senior stakeholders with care, discretion, and attention to detail.

This role is suited to someone who takes pride in keeping an office organised, presentable, and running smoothly behind the scenes.

You will support the day-to-day operation of the office across administration, coordination, and general workplace support, while also assisting senior stakeholders with selected support tasks. The role also includes involvement in external engagement with Japanese organisations and hospitality-related support when required.

This is not a high-volume processing role. It is better suited to someone who values professionalism, quality of communication, and thoughtful support.

What does your next role look like?

  • Provide day-to-day office and administration support
  • Assist with reception, visitors, incoming calls, and general enquiries
  • Help coordinate office facilities, supplies, and workplace presentation
  • Support internal administration processes, records, and documentation
  • Assist senior stakeholders with selected coordination and support tasks
  • Provide support for external engagement activities involving Japanese organisations or community-related occasions
  • Assist with hospitality coordination and preparation for internal or executive-related events as required
  • Contribute to a smooth, professional, and well-organised office environment

A little about you

  • Business-level Japanese and English communication skills
  • Previous experience in administration, office support, general affairs, executive support, or a similar coordination role
  • A professional, polished, and reliable manner
  • Strong attention to detail and a high level of discretion
  • Confidence working in a structured and professional office environment
  • The ability to manage priorities, respond thoughtfully, and support others proactively
  • Sound Microsoft Office skills
  • Full and unrestricted work rights in Australia

Working Hour

Part-time, 17.5 hours per week (Approx. 3.5 hours per day, Monday to Friday) – Flexible arrangement across business days

Salary range

Competitive hourly rate depending on experience

Working flexibility

Primarily office-based / hybrid flexibility may be considered depending on the role and experience

Start From

As soon as possible – Initial part-time contract role through to the end of June 2026

Potential to transition to a permanent part-time arrangement
