Entry-level Japanese-speaking Office Administration

About This Position…

This Entry-level Office Administration position is a Full-time/Part-time position in Melbourne South-east.

You will provide ongoing support to a small friendly team, including general office administrative, reception and more. Your interpersonal skill is highly regarded as you will have the chance to liaise with many external bodies, especially with the Japanese company representatives and other local stakeholders.

The position is fitted for someone who has passion and interest towards the housing/real estate business and enjoys carrying out efficient supportive tasks for a small team.

What does your next role look like?

Responsibility – Assist with general office administration

  • Support the day to day general office administration duties
  • Act as a point of contact for the supplier and customer related queries
  • Ensure documentation is up to date and appropriately recorded
  • Assist with adhoc administrative tasks and projects as required, including but not limited to maintaining registers, booking travel, minute taking and providing detailed reporting
  • Support the Workplace team in Workplace tasks, projects, initiatives
  • Internal communications through various channels to keep their staff informed of the latest updates both within team and organisation
  • Assisting Executive team with external guests and executive meetings 
  • Corresponding with clients/suppliers
  • Manage and update the company weekly activity schedule
  • Manage all company employment visa applications and dealings with the Immigration Department
  • Complete and lodge all company ASIC requirements
  • Manage general insurance and worksafe cover
  • Assist in the preparation and editing of administrative documents
  • General secretarial and miscellaneous duties
  • Other duties as required from time to time

A little about you…

  • 1-2 years of work experience in administration and office experience
  • Professional and self-motivated attitude to work
  • Strong interpersonal skills and effective communication with all levels of staff to become a valuable member of the team
  • Computer literacy, particularly in MS Excel and Word
  • Understanding of internal procedures
  • Ability to communicate effectively with all levels of management
  • A strong sense of time management and organisational skills
  • Ability to meet deadlines
  • Numeracy skills
  • Respect for cultural differences and ability to develop positive relationships despite language and cultural barriers
  • Candidates must have the right to work full-time in Australia.

Location…

Melbourne South-east – City of Monash LGA (Own transport is highly preferred) | Work from Office

Working Hour…

9.00am to 5.00pm – Monday to Friday (Part-time option is available)
